Know which stores opened and closed properly today

Head office builds the opening, closing and safety forms in Orbit OS, store teams fill them in on the Orbit app, and one board shows which stores have sent today’s reports, what is still pending and how cash variance is tracking.

The Reports board in Orbit OS for a demo business, listing each store with its Store Open and Store Close reports for the day and whether they have been submitted

The Reports board on a Sunday morning, before any store has reported. Demo business with fictional names.

The problem

Whether a store actually did its opening checks, counted the float and closed properly is known only to the person who did it.

What head office sees

Each store’s reports for the day — submitted or pending — the answers and photos teams filled in, and cash variance over 30 days.

What it can do

Builds and changes the forms, makes fields and photos required, decides which stores each form applies to, and opens any submission.

The outcome

The same opening and closing standard on every store it runs, with a record of who did it and when.

Who does what

Head office sets it. The store runs it.

What head office controls

  • Builds the report forms in the web app — opening, closing, safety, anything — with sections, required fields and required photos.
  • Sees which stores have submitted today’s reports and which are pending, per store, per day.
  • Reads every submission and the cash-variance history it produces.
  • Turns the automatic end-of-day summary’s sections on or off per store: late starts, still clocked in, tomorrow’s shifts, held notifications.

What the store team does

  • Opens the form on the Orbit app at open and at close, fills it in, attaches the photos the form requires, and submits.
  • In a franchised store the forms and the board are the franchisee’s own.

The workflow

How it works, step by step.

  1. Build the form

Sections and items, required fields, required photos. Built-in opening and closing reports come with the business; custom forms appear in the app as soon as they are active.

  2. Fill it at the store

The team completes it on the Orbit app. A required field or photo cannot be skipped.

  3. Watch the board

Head office sees each store’s reports for the day, submitted or pending, and opens any submission.

  4. Track the numbers

Cash counts feed a variance history; the automatic end-of-day summary adds late starts, people still clocked in and tomorrow’s shifts.

Questions

Asked before a demo.

  • Do daily reports need any other system?

No. Forms are built in the web app and filled in the Orbit app; the end-of-day summary reads rosters and timesheets Orbit already holds.
